1. What we need
Our Personal Data Protection Policy governs the use and storage of your data.
Philippos Aristotelous is a Controller of the personal data you (data subject) provide us.
We collect the following types of personal data from you:
- Names
- Email addresses
- Company name
- Postal address
- The wording of questions typed into our AI assistant, and its answers (see section 5)
- Website usage information collected through cookies (see section 6)
2. Why we need it
We need your personal data in order to provide you with the following:
- Collection of email addresses for purpose of emailing or posting information on news, new events. special offers, marketing (if any) and generally services offered.
3. What we do with it
Your personal data is processed in Mantinias 1, Yermasoyia, 4043, located in Limassol, Cyprus.
Spam protection on our forms. Our forms, including the contact form and the free guide request form, use Google reCAPTCHA to tell genuine enquiries apart from automated ones. It loads on the pages of this website, and it may set cookies and send your IP address and information about how you interact with the page to Google Ireland Limited and Google LLC, who use that information to provide and improve the reCAPTCHA service and for general security purposes. This involves a transfer of that information outside the European Economic Area, under the safeguards Google has in place.
Free guides. If you ask for one of our free guides, we use your name, email address and, if you give it, your firm’s name to send you the guide and to reply to you about it. We do not add you to a mailing list without asking you first.
Other than the providers named above and in sections 5 and 6 below, no third party providers have access to your data, unless specifically required by law.
4. How long we keep it
We will keep your information for 2 years. After this period, your personal data will be irreversibly destroyed. Any personal data held by us for marketing and service update notifications will be kept by us until such time that you notify us that you no longer wish to receive this information.
5. Ask Philippos (our AI assistant)
“Ask Philippos” is an AI assistant on this website which answers questions about our work, methodologies and services.
What we collect. The wording of the questions you type into it, together with the answers the assistant gives you. Using the assistant does not require your name or email address, and we do not set cookies or store IP addresses for it.
Why we need it. To understand what visitors want to know, and to improve the quality of the answers.
Who else processes it. Your question is sent to Anthropic PBC in the United States, which operates the AI model that produces the answer. Cloudflare, Inc. provides the anti-bot check that runs beforehand. This involves a transfer of that text outside the European Economic Area, under the safeguards those providers have in place. Your question is not used to train their AI models.
How long we keep it. The wording of your question and the assistant’s answer are kept for 30 days, after which they are deleted automatically, and in no case longer than 60 days if a technical fault delays processing. This is shorter than the period described in section 4 above.
What we keep afterwards. Before your question is deleted, we create an anonymous record of what was asked about. Identifying details are stripped out automatically, and the question is then rewritten by an AI model as a short, general description of the subject — for example, “a firm asks how to price a substantial contract dispute”. Personal names, firm names, client names, email addresses, telephone numbers, identity and company registration numbers and account details are removed. The wording you typed is never part of this record and is never stored outside Cyprus.
Why we keep it. To see which subjects law firms are asking about, so we can write about them, build tools and design training that address real questions rather than assumed ones.
Why this is not personal data. The record contains no name, no contact detail, no IP address, no cookie and no account identifier, and nothing that links it to you or to any other question you have asked on another occasion. We cannot trace it back to you, and neither can anyone else. For that reason we keep it indefinitely, and the rights in section 7 cannot be exercised over it — there is nothing in it to identify, correct or delete.
Who else processes it. The anonymous record is stored with Supabase, Inc., on servers in Frankfurt, Germany, within the European Union. The step that removes identifying details and writes the short description is performed by Anthropic PBC, using the same safeguards described above.
Please do not enter confidential, privileged or client-identifying information into the assistant.
6. Website analytics and search performance
We use Google Analytics 4 and Google Search Console on this website, connected through the Site Kit plugin.
What we collect. Google Analytics places cookies in your browser, named _ga and _ga_E40XJ0FFV7, which give your device a random identifier. It records which pages you view, how long you spend on them, how you arrived at the site, the general area you are in as estimated from your IP address, and your device and browser type. These cookies are set when the page loads.
Why we need it. To see which articles are actually read, how people find the site, and which pages are not working.
Google Search Console. This reports the search terms that led people here and how our pages rank. It is aggregate information provided to us by Google, it identifies no individual visitor, and it sets no cookies.
Who else processes it. Google Ireland Limited and Google LLC. This involves a transfer of data outside the European Economic Area, under the safeguards those providers have in place. Google Analytics does not retain your full IP address.
How long we keep it. The analytics cookies remain in your browser between visits until they expire or you delete them. The reports in our Google Analytics account are kept for the retention period configured there.
Your choices. You can stop this collection at any time by blocking or deleting cookies for this site in your browser settings, or by installing Google’s opt-out add-on at tools.google.com/dlpage/gaoptout.
7. What are your rights?
Should you believe that any personal data we hold on you is incorrect or incomplete, you have the ability to request to see this information, rectify it or have it deleted. Please contact us at info@philarist.com

We will then look into your complaint and work with you to resolve the matter.
